Client-owned hosting: control without reselling

Last materially reviewed 2026-09-21

Quick answerA client can own the commercial relationship while granting you bounded technical access.
What to know

Put ownership with the intended long-term owner

Client-owned hosting means the client holds the commercial relationship while granting a provider appropriate technical access. It can make an eventual agency change easier, but only if the client can actually access their account and understands the billing responsibility. An email address appearing on a project note is not proof of ownership. Confirm the domain, hosting and application roles separately before treating the handoff as complete.

What to know

Give collaborators individual access

Cloudways provides team access with permissions that should be matched to the work. Use a named collaborator rather than sharing the account owner’s password. A person maintaining WordPress may not need billing authority, and a finance contact may not need application file access. Review the current role controls and document the intended boundary. The purpose is a usable working relationship, not so little access that every routine task becomes an emergency.

What to know

Agree on who responds to a problem

Client ownership does not mean the client must diagnose every technical fault. Write down who receives alerts, who opens hosting support requests and who can approve a potentially disruptive recovery step. A fictional agency might maintain the application while the client approves larger recurring costs. That arrangement only works if both parties know the escalation route and somebody can cover the primary contact’s absence.

What to know

Verify continuity before removing access

At the end of an engagement, confirm that the client or replacement operator can reach the necessary controls and has the current operating record. Then remove obsolete access through the supported process. Do not revoke the only working administrator first and hope recovery will be easy. Client-owned billing can reduce dependence on an agency, but it does not replace a tested handoff of domains, email, code and external subscriptions.
