Cloudways for small agencies: when shared capacity makes sense

Last materially reviewed 2026-09-21

Quick answerA shared server can simplify billing while concentrating capacity and handoff risk.
What to know

A portfolio is more than a site count

Small agencies often want one place to manage several clients, but the applications can differ greatly in workload and risk. Cloudways Flexible is relevant because it lets the team think in terms of server resources and applications. The useful question is how to group work without making one client’s growth, incident or departure an unnecessary problem for everyone else. Counting domains alone cannot answer that question.

What to know

Group by operating needs

Create an inventory with each site’s business function, busiest activity, storage use and recovery requirement. Group only where the team can explain the shared capacity and the consequences of a change. A fictional portfolio of quiet brochures may be managed differently from a store and a membership site. These examples are organizational prompts, not evidence that a particular server size will support a particular number of clients.

What to know

Keep ownership separate from convenience

A single agency bill can simplify administration while making a client exit more involved. Cloudways documents whole-server transfers, so do not promise that one application can leave through that workflow without checking the surrounding arrangement. Consider client-owned accounts when independent ownership is a priority. Record which services stay outside hosting, including domain registration and email; moving a server should not be mistaken for transferring the entire business stack.

What to know

Test the agency proposition

Before migrating a portfolio, compare a representative subset against current alternatives and complete the total-cost worksheet. Define what improvement would justify the disruption: clearer responsibility, an unmet resource need or a better supported workflow. We have not measured a cost or performance advantage for your agency. If the current setup is adequate, use the inventory to improve its operation first rather than treating consolidation as an automatic commercial win.
